As the EH&S Executive Administrative Assistant, you will provide a variety of administrative support to the EH&S group that requires decision making and problem solving with minimal direction. You will have to prioritize multiple requests in a fast-paced environment with impeccable attention to detail and accuracy, while maintaining a positive attitude. You will report directly to the VP of EH&S and will support multiple executives within the EH&S organizations.

Essential duties and responsibilities are as follows:

  • Extensive communication and coordination with other Corporate Office functions, UTAS business units, and senior leaders.

  • Manage executive calendars/schedules and provide advance notice of upcoming important meetings to ensure appropriate preparation of materials.

  • Coordinate and schedule appointments and meetings; reserve facilities and obtain or assemble supporting material.

  • Keep up with the flow of incoming/outgoing mail and email; provide timely responses, as well as direct items to appropriate individuals for action and/or informational purposes.

  • Plan and arrange both domestic and international travel and process expense reports in a timely manner with minimal supervisory direction.

  • Keep abreast of matters requiring timely action.

  • Attend and occasionally lead meetings on behalf of the VPs. Capture meeting details/minutes and later publish them to the identified audience.

  • Maintain email distribution lists and assist in coordinating / scheduling department events

  • Process POs / invoices for the department

  • Utilize ACE tools to streamline administrative processes.

Qualification: Minimum Qualifications:

  • A minimum of 7 years administrative assistant experience is required.

  • Strong working knowledge of Microsoft Applications (SharePoint, Outlook, MS Word,PowerPoint, and Excel.

  • Strong interpersonal, communication and teaming skills required.

  • Ability to exercise substantial judgment.

  • Always a step ahead - willingness to take initiative.

  • Ability to prioritize & manage workflow to maximize productivity of the office.

  • Ability and strong desire to work with a team of Administrative Assistants in improving administrative processes.

  • Able to handle proprietary and confidential material appropriately.

Preferred Qualifications:

  • Minimum 4 years supporting executive level management highly preferred.

  • Experience working in a large, corporate environment preferred.

  • Experience improving and documenting processes preferred.

Education: HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience.
